Office & Events Specialist

Hudson River Trading is hiring an Office & Events Specialist to join our People Operations team in London! In this role, you will report to the Community Engagement Lead, with a dotted line to the Workplace Lead. You will be responsible for the strategic planning and execution of London events — in-person, virtual, and hybrid! This includes big-picture projects like employee engagement strategy and analytics tracking, as well as on-the-ground operational responsibilities including event planning, management, and marketing. You will also be responsible for managing the front desk, greeting visitors, handling inbound calls, and ensuring that tasks such as supply fulfillment, ticket submissions, and badge needs are addressed.

Responsibilities

  • Plan, execute, promote, and lead high-touch in-person and virtual events, including monthly office-wide events, team events, intern engagement, and impromptu community-building events
  • Forge genuine relationships with your peers and find opportunities to bring our office culture to life through shared experiences 
  • Build enthusiasm for events through various communication tools, including email and Slack
  • Write engaging and concise email communications to broad and diverse audiences  
  • Identify areas of improvement and propose ideas on how to make things better
  • Receive incoming phone calls 
  • Manage the office front desk and oversee the visitor experience 
  • Monitor internal communication channels and respond to requests 
  • Track badges for employees and visitors 

 

Qualifications

  • Minimum 5+ years of event planning experience including leading projects beginning to end
  • Outstanding communication skills, both written and verbal
  • Strong work ethic and dedication with the ability to project manage and reprioritize quickly when needed
  • Strong decision-making skills 
  • Experience working with outside vendors 
  • Familiarity with intercom systems 
  • Comfortable operating in fluid and open-ended problem spaces
  • Skilled at turning creative visions into reality
  • Experience working on cross-functional projects with many collaborators 
  • Flexibility to work evenings, weekends, and with a global team across time zones as needed 
  • Ability to cultivate strong relationships with peers
