The position requires an experienced, detail-oriented individual with robust process and organizational skills and the ability to prioritize and follow the Firm’s policies and procedures. The Senior Manager, Operations will primarily be responsible for leading the Apex Canada Operations team. Included in this will be ownership of new accounts supervision, correspondence and sales literature. Additionally, they will supervise staff and work closely with other internal departments and our Broadridge BPO outsourcing partner to coordinate and complete daily functions. This position requires a hands-on manager with the ability to manage multiple deadlines, provide excellent customer service, and be able to motivate staff. This role will also be expected to work closely with our US-based Operations leadership team.

Managers are accountable for facilitating the team's ability to deliver business results and creating a work environment that promotes employee engagement. This includes helping to provide the information, resources, feedback, coaching and recognition that help employees improve their performance. Managers are responsible for assisting in developing necessary process improvements, communications and effective working relationships that establish accountability and positively impact the team, and stakeholders. You will ensure "best in class" service for our internal and external clients by:

  • Effectively managing, and coaching others, evaluating risk when reviewing client accounts requesting fund disbursements including but not limited to check requests, check deposits, domestic and international incoming and outgoing wires.
  • Performing work that is detailed and communicated in a clear, effective manner.
  • Actively listen, assess specialists' and clients' needs, research information, and provide "outside of the box" solutions.
  • Problem solving and conducting research/special requests through the use of email, telephone and our internal inquiry system.
  • Receiving and effectively resolving escalations to the clients' satisfaction and take action quickly in a high-risk environment to mitigate risk to the firm.
  • Proactively educate specialists, clients and internal partners on our products and services.
  • Drive business initiatives and results by developing strong partnerships.

Daily activities to include:

  • Review/approval of all new account openings and updates within the firm
  • Daily and monthly review of account activity
  • Approving new client accounts and updates
  • Approving firm sales communications and advertising
  • Promoting a compliance culture within the firm
  • Providing training and education to business units as required
  • Taking preventative measures to ensure compliance with the rules and regulations are being applied
  • Administer compliance controls within the department and the business units and provide suggestions for improvement as required to resolve concerns
  • Assist in maintaining and enhancing 1st Line policies and procedures (WSPs)
  • Assist with responses to inquiries from regulators
  • Ensure compliance with the company's and industry's policies and procedures
  • Escalate issues identified to Compliance/Business management and monitor for resolution
  • Foster a cooperative working relationship among peers and business partners
  • Respond to employee trading approval requests and conduct surveillance of employees' personal trading

What you have:

  • University/College degree or combination of equivalent education and a minimum of ten years back office experience at an IIROC dealer member
  • Completion of the IIROC Investment Dealer Supervisors Course
  • Completion of CPH and Branch Manager’s Course would be considered an asset
  • Knowledge of the following:
    • US Options processing
    • CDS/DTC Settlements
    • Corporate Actions / Dividends
    • Cash Movement
    • Reconciliation
  • Diplomatic problem-solving skills to resolve issues within a functional area and/or across functional areas
  • In-depth knowledge of regulations impacting personal financial services activities
  • Ability to understand, analyze, interpret, and apply such regulation in an operational context 
  • Ability to work independently and as part of a team yet understand when matters need to be escalated to senior management
  • Experience in executing and managing business processes within a functional area or branch.
